Create an auditable sharing approach for property managers; distinguish file encryption from recipient authorization

01 / DECISION

Protect the rental application without hiding ownership

File encryption and recipient authorization are different controls. Before handing off a rental application containing applicant identity records, verify the named recipient, business purpose, approved version and delivery route. Use provider permissions where collaboration is needed and a separate channel for secrets where an offline archive is justified.

Property-management team scenario

A property manager freezes an applicant-document intake batch for leasing supervisor review. The team first proves the workflow with fictional applicant documentation files, documents each authorized role and preserves the working source separately.

02 / PROCEDURE

Run the control sequence

  1. 01

Confirm recipient identity, role, purpose and approval.

  2. 02

Select the smallest rental application intake batch needed for the decision.

  3. 03

Choose an approved provider permission or controlled archive route.

  4. 04

Send access instructions through a separate verified channel.

  5. 05

Capture receipt, review window, revision request and withdrawal owner.

03 / RECORD

Preserve decision evidence

Record package ID, application intake batch, sender, recipient, authority, provider permission or archive route, instruction channel, receipt, review deadline, replacement and withdrawal status.

Stop when

  • The recipient is an unverified shared address.
  • A broad archive is sent when one application intake batch is sufficient.
  • The password travels in the same message or package.

The record should show the approved application intake batch, tested environment, responsible people and known limitations without storing passwords or unnecessary rental application content.

04 / BOUNDARY

Separate the surrounding controls

Does not replace applicant consent, fair-housing and records duties, provider permissions, guaranteed backup, password recovery or enterprise identity management. Encryption does not authorize a recipient, prove a lawful purpose, preserve every backup or remove plaintext working copies automatically.

05 / QUESTIONS

Rental application archive questions

Should the encrypted archive become the live application system?

No. Keep the authoritative application in the approved property-management system and archive named intake batches deliberately.

Does resetting a password recover an existing archive?

Do not assume so. Document the product-specific recovery boundary and test a separate recovery copy.
